Privacy Policy

Last updated: 24 September 2026

This Privacy Policy explains what personal information timely.golf collects, how we use it, and the choices you have. It applies to coaches, players, and visitors to our website.

1. Who we are

timely.golf is operated by [COMPANY LEGAL NAME], [STREET ADDRESS], [POSTAL CODE & CITY], Germany (phone: [PHONE]). We are responsible — the "controller" — for the personal data described in this policy.

For any privacy question, or to exercise your rights, email us at hi@timely.golf.

To do before launch: fill in the legal entity name, registered address, and phone number above (and add an Impressum if required).

3. What we collect

We collect information that you give us when you create an account, set up a coach or player profile, book a session, issue an invoice, or contact support. This includes basics like your name, email, profile picture, and — for coaches — your bio, location, hourly rate, and the photos or videos you choose to publish on your profile.

When you use the platform we also process information that you create on it: bookings, session notes, invoices, videos, audio recordings, and the movement data we derive from your videos to help analyse your swing.

With your permission, we also process your device location to show local weather and course conditions (see "Location").

For coach subscriptions, our payment processor handles your card details directly — we never see or store your card number.

4. Server logs

Like any online service, our hosting and infrastructure providers automatically record standard server logs for each request: your IP address, date and time, the page or file requested, the amount of data transferred, your browser and operating system, and the referring page.

We use these logs only to operate, secure, and troubleshoot the service. We do not combine them with your profile to identify you — except where there is concrete, justified suspicion of unlawful use and we need to investigate it.

5. Video, audio, and movement data

Coaches and players can record, upload, store, annotate, and share video and camera recordings on timely.golf, including Shot Tracer videos. From those videos, our software automatically extracts body-pose data (positions of joints over time) to help analyse the swing, and Shot Tracer follows the ball to draw its path. This processing runs on your own device.

You can also record voice notes that play alongside a video. Recording uses your device microphone with your permission. When you record a shot in Shot Tracer, the microphone is also used on your device to detect the moment of the strike.

Because video and body-pose data can identify a person and reveal physical characteristics, they may be treated as biometric or "special category" data under EU law. We only process this material with your explicit consent, given when you upload or record. You can withdraw consent at any time in your account settings and delete recordings whenever you want — both the video and the movement data derived from it are removed together.

Please don’t upload recordings of other people without their consent. If you do, you remain responsible for that.

6. AI-assisted features

Swing analysis (OpenAI). When you ask timely.golf to analyse a swing, the movement data computed from your video — joint angles and comparison measurements, never the video or its images — is sent to OpenAI to generate coaching feedback. OpenAI processes it to answer the request and does not use it to train its models.

Text features (OpenAI). Some features use OpenAI, a US provider, to generate or improve text — for example enhancing a coach bio, cleaning up or drafting session notes, answering support questions, and preparing article or golf-directory content. We send only the text needed for the task; OpenAI processes it to return a result and does not use this data to train its models.

AI output can be wrong or incomplete. It is not medical advice — always check with a qualified professional for anything health-related. Our AI does not make automated decisions about you that have legal or similarly significant effects; it produces suggestions, and what to do with them is up to you and your coach.

7. How we use your information

  • To run the service — your account, bookings, video analysis, invoicing, and coach–player communication.
  • To process payments and manage coach subscriptions.
  • To send the service emails you need to use the platform — sign-up and email confirmation, password resets, coach invitations, and booking notifications.
  • To keep the platform secure and prevent abuse.
  • To understand aggregate usage and improve the product.

8. Who we share information with

We share information only as needed to run timely.golf:

  • With your coach or your player — videos, notes, and bookings are visible to the people you work with on the platform.
  • With the providers listed below, who process data on our behalf under data-protection agreements.
  • With Google, when you sign in with Google, request an AI swing analysis, or (as a coach) connect Google Calendar.
  • When required by law, court order, or to protect rights and safety.

Google Calendar sync

If you connect Google Calendar as a coach, your bookings are copied into your calendar. Those entries include the player’s name and, where available, their email, phone, and your booking notes, so the calendar entry is useful to you. You can disconnect at any time in your settings.

The main providers we use

StripeCoach subscription billing (United States). Handles card details directly — we never see or store card numbers.
GoogleSign-in, Google Maps, and Calendar sync (United States).
OpenAIAI swing analysis and text features (United States).
Cloudflare R2Storage and delivery of your videos, audio, and images (global, via CDN).
ResendSending the service emails described above (United States).
VercelApplication hosting and privacy-friendly analytics (United States).
MongoDB AtlasDatabase hosting for your account and content.

9. Embedded content and external media

Some pages include content from other services. Articles can embed YouTube or Vimeo videos, and golf-course pages show a Google Map of the location. When this content loads, your browser connects directly to that provider, which receives your IP address and the page you are on and may set its own cookies. Where possible we use YouTube’s no-cookie mode.

When you open the Swing Lab, your browser also downloads its motion-analysis model from Google and a small video-processing library from a public code CDN. This exposes your IP address to those providers, but your videos are analysed on your own device and are not sent to them.

Our footer links to our own profiles on LinkedIn, Facebook, and X. These are ordinary links — not embedded widgets or tracking pixels — so your data only reaches those platforms if you click through, under their own privacy policies.

10. Location

Some dashboard features show local weather and course conditions. If you allow it, your browser shares your device location, and we send those coordinates to our weather and geocoding providers (Open-Meteo and BigDataCloud) to look up local conditions and place names. We do not use this to track you, and you can deny or revoke the location permission in your browser at any time.

11. Cookies and analytics

We use a small number of strictly necessary cookies to keep you signed in and remember your preferences, plus a record of your cookie-consent choice. We do not use advertising cookies or cross-site tracking pixels.

To understand how the site is used, we use Vercel’s privacy-friendly analytics. It counts visits, page views, and performance without cookies and without tracking you across other sites; your IP address is processed only transiently to derive aggregate statistics and is not stored against you.

12. Marketing emails and newsletters

Today we send only the service emails described above — we do not run a newsletter or send promotional campaigns. If we ever start, marketing emails will be opt-in and every one will include a one-click unsubscribe link.

13. Coach public profile

Coaches can publish a public profile at timely.golf/[username] that may include their name, photo, bio, location, languages, hourly rate, gallery photos, and portfolio videos. Coaches choose which fields to make public in their settings; published content is visible to anyone on the internet and can be found through search engines.

14. International transfers

Several of the providers above — including Google, OpenAI, Stripe, Resend, and Vercel — are based in or transfer data to the United States, and our storage and database providers operate globally. When information travels outside the EU/EEA we rely on the safeguards required by the GDPR, such as the EU-US Data Privacy Framework or the European Commission’s Standard Contractual Clauses.

15. How long we keep it

We keep your information for as long as your account is active or as long as we need it to provide the service. You can delete videos, recordings, and content at any time.

Some information is kept longer when the law requires it — for example, invoice and payment records are retained for the periods required by tax law (typically up to 10 years in Germany).

16. Your rights

You can ask us to access, correct, delete, restrict, or export your personal data. You can also withdraw any consent you gave us, and you have the right to complain to a data-protection authority.

To exercise these rights, just send us an email at hi@timely.golf.

Account deletion and full data export are currently handled manually on request. A self-service option is in development.

17. Minimum age

timely.golf is not for children under 16. By creating an account you confirm you are at least 16 years old.

18. Security

We use industry-standard safeguards to protect your data: encrypted connections (HTTPS), hashed passwords, encrypted access tokens, and access controls. No system is perfectly secure, but we take this seriously and continuously improve.

19. Security incidents

If we discover a security incident affecting your personal data, we will investigate it without delay. Where the law requires it, we notify the relevant supervisory authority within 72 hours, and we notify you directly if the incident is likely to put your rights at serious risk.

20. Aggregated information

We may publish aggregated or de-identified information about how the platform is used (e.g. how many swings are analysed in a given month). Because this information cannot be linked back to you, it is no longer personal data and these privacy rules do not apply to it.

21. Changes to this policy

We may update this policy from time to time. If we make material changes we will notify active users by email. The "Last updated" date at the top shows when the current version took effect.
